1.     Project Overview

1.1     Overview

The objective of this document is to define the Functional Specification for Corporate Intranet Site for UHP.

1.2     Purpose of Document

This document details the features and functionality to be provided for the UHP Corporate Intranet Site. It defines the system configuration and identifies its components.

1.3     Intended Audience

The staff involved in the development, configuration, and testing of the system should read this document.

UHP desires to develop a Corporate Intranet Site to provide its personnel with a single point of entry to access corporate information. The Intranet site will follow the Corporate Organizations general structure:

The UHP Corporate Intranet Site is expected to perform the following high level functions:

 

Phase I

Phase I will focus on design and development of the Site Architecture, User Interface and General Site Structure.

The Home Page will have links to all identified business units with general information and also include News Events ticker and Upcoming Events ticker.  Detailed information will be provided in the Human Resources section, Personnel section, Project Reporting section and Corporate section in Phase I. Phase I is also the Pilot phase for this project.

The Home Page/General Links will include (These items will simply link to subsections of the site as illustrated in site plan diagram):

       Links to All Business Units: the Home page will be designed to allow quick navigation to all sections of the Intranet.

       News Events Ticker Link: quick look at news of the day with capability to link to the full.

       Upcoming Events Link: quick look at events being staged with capability to link to more information.

       Motivational Quotes: quote of the day to provide motivational quotes for the employees.

       Phone Directory Link: complete directory of all UHP employees, and the means of contacting them by telephone, pager, fax, and e-mail, etc. The users will be able to modify and update their personal information.

       Bulletin Board Link: this area will act as a message center for employees to post information for internal.

       Feedback Link: this function will allow users to send feedback to the site Administrators.

       Search Link: this function will provide site wide search capabilities.

       Help Link: this area will provide general instructions to Intranet users regarding browser compatibility and desktop settings.

 


Board of Directors and Corporate Executives module consists of:

This entire area will be secured and will only allow access by User ID and Password to identified Executives.

       Welcome Page: this page will provide information on this section.

       Executive Reporting: the contents of this area will be restricted to Corporate Executive Communications such as Financial Reports.

       Search: ability to search for Documents by Keyword.

       Help: general help on usage of the functions within this area.

 

The WattsHealth Systems – Administrative Services Group module consists of:

       Welcome Page: this page will provide information on the Administrative Services Group.

       Secure Project Reports: this area will be secured by project and allow project managers access to upload Project Documents including Project Plans, Status Reports, etc.

       Miscellaneous Administrative Services Group Documents: this area is intended for the business/department to upload documents designed for general distribution to the enterprise.

       Search: ability to search Miscellaneous Documents by Keyword.

       Help: general help on usage of the functions within the Administrative Services Group.

 

The WattsHealth Systems - Human Resources module comprises of:

       Welcome Page: this page will provide information on the Human Resources Department.

       Holiday Schedule: the list of public holidays observed by UHP.

       Pay Schedule: the list of pay periods/pay-days.

       Benefit Summary: the benefits offered by UHP to its personnel.

       Employee Manual: the UHP Employee Manual.

       Miscellaneous HR Documents: this area is intended for the business/department to upload documents designed for general distribution to the enterprise.

       Search: ability to search Miscellaneous Documents by Keyword.

       Help: general help on usage of the functions within the HR Department.

 

The WattsHealth Systems - Personnel module consists of:

       Welcome Page: this page will provide information on the Personnel Department.

       Phone Directory: complete directory of all UHP employees, and the means of contacting them by telephone, pager, fax, and e-mail, etc. The users will be able to modify and update their personal information.

       Bulletin Board: this area will act as a message center for employees to post information for internal use in Marketing and Sales section.

       Feedback:  this function will allow users to send feedback to the site Administrator.

       Miscellaneous Personnel Documents: this area is intended for the business/department to upload documents designed for general distribution to the enterprise.

       Search: ability to search Miscellaneous Documents by Keyword.

       Help: general help on usage of the functions within the Personnel Department.

       Utilities: this is a secure area containing utilities for maintaining the Phone Directory, Quotes and Feedback.

 

The UHP Healthcare – Marketing and Sales module comprises of:

       Welcome Page: this page will provide information on the Marketing and Sales Department.

       News Events: list of news events of the day with capability to link to the full story.

       Upcoming Events: list of upcoming events being staged with capability to link to more information.

       Miscellaneous Marketing and Sales Documents: this area is intended for the business/department to upload documents designed for general distribution to the enterprise.

       Search: ability to search Miscellaneous Documents by Keyword.

       Help: general help on usage of the functions within the Marketing and Sales Department.

       Utilities: this is a secure area containing utilities for maintaining the News and Upcoming Events.

 

General Capability: All identified Business Units and Departments will be given the following minimum Site Configuration.

       Welcome Page: this page will provide information on the Business Unit or Department.

       Miscellaneous Documents : this area is intended for the business/department to upload documents designed for general distribution to the enterprise.

       Search: ability to search Miscellaneous Documents by Keyword.

       Help: general help on usage of the functions within the Business Unit or Department.

 

Controlled Access: access to the Intranet will be granted on system level authentication, to maintain the confidentiality of the information to all UHP personnel with system login privileges.


Phase II

Phase II will continue with adding content and functionality to the site.  Interviews will be conducted with leaders of all the business units and functional areas to identify their requirements for enhanced and/or new content and functionality.

 

General Applications:

       Personalization: this function will allow users of the Intranet the capability to customize the information which appears on their Home Page to meet their daily needs.  They will be able to create direct links to areas of the site that they access most often.

 

The WattsHealth Systems - Human Resources module comprises of:

       Job Listings: this function will allow user to view job openings within the enterprise and apply for them via email.

 

Continued Site Expansion:

       Business Units/Departments: upon completion of Phase I Business Units and Departments interested in expanding the information and functionality of their Intranet sites will be contacted and interviewed in order to gather their requirements.

The Site will be structure to allow for quick and easy access to UHP Corporate Information.

Security will set up for those users responsible for site maintenance.  A number of security levels have been identified within the system.

2.5     System Configuration

The server will be an Intel based PC running Microsoft Windows NT Server 4.0, Microsoft Internet Information Server 4.0 and Microsoft SQL Server 6.5 or 7.0. Client workstations must be capable of running Netscape Navigator 4.5 or greater.  The Site will be design for 800x600 screen resolution in order to have enough room to present data views with as little as possible vertical scrolling.


 

2.6     Database Tables

There are several tables, which will be accessed from the Intranet Site.  Below is a list of the database tables and their usage.

 

 

Text Box: Quotes
Phone List  – This table will contain a database of all the UHP personnel, along with all the relevant information to on how to contact them, e.g. telephone number(s), fax number(s), pager number, e-mail, address etc.

Quotes – This table will contain a bank of quotations. Each day a different quote will be pulled out of this table and displayed on the Home Page.
